Help
Everything you need to run a show with remote guests: what CallPro does, what your guests see, how to set up vMix or OBS and your audio, and what to do when something is off.
Sending someone a link? There is a short help page for guests you can pass on.
How CallPro works
Guests open a personal link in their browser. Their picture and sound go straight to your vMix PC, one clean input per guest. The studio laptop sends the program back to the guests, so they see and hear the show. You run everything from the lobby: cues, who sees and hears what, quality.
one feed per guest
what's on air
- Nothing to install. Guests, vMix and the studio laptop all use a browser link.
- Picture and sound never pass through CallPro. They go directly between the guest and your studio. CallPro carries the cues and settings.
- Changes to who sees and hears what apply right away without interrupting the feed to vMix. Changing a guest's quality restarts their connection: about 3 seconds without picture.
What your guests see
Three screens, in this order. The wording below is what they read, so you can refer to it when you talk them through it.
"Hi Anna, you're invited to Town hall"
"No app, no account. Two quick steps, about a minute." Then the two steps: check your camera and microphone; join, the producer sees and hears you from that moment. A status line says Ready when you are (nothing is expected of them yet). One button: Check camera and mic.
A link opened inside Instagram, Facebook or LinkedIn gets a notice to open it in Safari or Chrome instead: those in-app browsers often block the camera.
"Let's check your camera and microphone"
"You should see yourself below, and the green bar should move when you speak." They see their own picture, pick a camera and microphone if there is more than one, and tick one box: I'm wearing earphones or headphones, so the studio doesn't hear itself back (with an "I don't have any" escape hatch that explains the echo risk). A blocked camera, a laptop without one (they can join with sound only) or a camera in use by another app each get a specific message with what to do. Then Join the call.
Their picture, and what you let them see
A tile "You" and the program or the other guests, as set in your lobby under Sees and hears. Your cues appear at the top of their screen for about five seconds; LIVE is the only red one. Controls: Mute mic, Camera off, Share screen, Flip camera (phones), Hide my picture, and I need help, which sends you one of "I can't hear the studio", "I can't see anything", "My picture looks wrong" or "Something else". It lands in your log strip until you mark it resolved.
After Leave the call they read "You've left the call. The studio no longer sees or hears you. Come back any time with the same link." and can rejoin.
The page remembers a guest's choices per link, so a second visit goes straight to the device check. Pro accounts can show their own logo, name and colour on these screens (Account → Guest page branding).
Sending the invitation
Every guest has their own link (lobby → Copy guest link). Send it with a few lines that set expectations; this text has worked well. Adjust it and copy it.
- Earphones and a quiet room matter most. They are the two boxes the guest must tick before joining, so mention them in the invitation and nobody is surprised.
- One link per person. Two people on the same link show up as one guest; add a second guest in the lobby instead.
- Links can expire. Give a link a validity period in the guest's card when you want it to stop working after the show.
Set up vMix
Every guest has a vMix link in the lobby (Copy vMix link). Add it as a Web Browser input:
- In vMix choose Add Input → Web Browser.
- Paste the vMix link in the URL field.
- Set width 1280 and height 720, and tick Audio.
- Click OK. The guest appears as a clean source without any interface.
Good to know
- One input per guest. Add a second Web Browser input with the vMix screen link when a guest shares their screen.
- Sound. The guest's audio arrives inside the Web Browser input; open the input's audio settings in vMix to route it to your bus.
- Default Windows audio device. The browser input plays through the default Windows output; keep that set to what vMix expects, or route the input's audio in vMix's audio mixer.
- Quality. Laptop guests default to 720p at 3 Mbps; phone guests to 720p at 1.5 Mbps. 1080p is a Pro preset.
- Tally (Pro). Guests see a red border when they are on air and a green one on preview. vMix: install the tally agent (Settings → vMix in the lobby has the key and the install command; it reads the vMix Web Controller).
OBS instead of vMix
- Add the same link as a Browser source, 1280×720, and tick Control audio via OBS to get the guest's sound in the mixer.
- Tally (Pro) needs nothing extra in OBS: the browser source tells the guest page when it is on program or preview.
Audio without echo
Echo happens when a guest hears themselves back. Two rules prevent it: the studio sends the guests a mix without the guests (mix-minus), and everyone wears headphones.
Studio laptop and mixer
- Open the studio link (lobby → Copy studio link) on a laptop next to your audio mixer.
- Pick NDI Webcam Input (the vMix program) as the camera, so guests see the show.
- Pick the mixer's mix-minus output as the microphone. On a Rodecaster Pro II that is the USB 2 chat channel: it carries the studio without the chat input itself.
- Set the laptop's audio output to the same USB device, so the presenter hears the guests through the mixer's chat channel.
- Guests hear each other directly, not through the studio. Nobody hears themselves.
Guests
- Earphones or headphones, always. Wired is best; Bluetooth adds a little delay and sometimes drops out.
- A quiet room, and the microphone close: the earphones' mic or the laptop's built-in mic both work.
Guest checklist
The invitation above covers the essentials; this is the long version for a guest who asks. The help page for guests says the same in their words.
- Browser: Chrome, Edge or Safari, up to date. On iPhone: Safari.
- Earphones or headphones, wired if possible.
- Phones: Do Not Disturb on, screen stays on, keep the page open. An incoming call interrupts the connection.
- Camera: close Teams, Zoom and other apps that use it. Allow the page to use camera and microphone when the browser asks.
- Light on the face, not behind you. Eye level camera.
- Internet: wifi close to the router or a cable. A phone on 4G/5G works too.
- Ten minutes early. The guest page checks camera and microphone first; the producer sees them in the lobby as soon as they join.
Troubleshooting
- No picture from a guest
- Check the lobby: is the guest's dot green? If not, they have not joined yet. If they are connected but the picture is black, use Reload guest in the guest's card (Quality and links): about 3 seconds without picture. Ask them to close other apps that use the camera.
- Echo
- Someone hears themselves. Usually a guest without headphones, or the studio return carrying the guests. Check the studio laptop uses the mix-minus output (see Audio without echo).
- A guest can't hear the studio
- Open the guest's Sees and hears menu and check Program is ticked under Hears. On the studio laptop, check the studio page has started and the right microphone is selected.
- The studio can't hear a guest
- Is the guest muted (Mic off in the lobby or on their own screen)? In vMix, check the Web Browser input has Audio ticked and is routed to your bus.
- Choppy picture or sound
- Usually the guest's connection. Ask them to move closer to the router or switch to a cable. Set their quality to Phone. On strict company networks, turn on Always route via relay server in the expert settings (Advanced mode, Pro): more stable, slightly more delay.
- Cues don't arrive
- Check the Control badge in the lobby's top bar. When it says Reconnecting, the calls keep running but cues wait until the connection is back.
- A guest asked for help
- Their message sits at the front of the log strip with a red stripe. Talk to them through a cue, fix the setting, then click Resolved.
- A link stopped working
- Links stop when a guest is removed, a production is deleted or a validity period passed. Copy a fresh link from the lobby.
